Missed Call Text Back — full feature list
Most missed callers won't leave a voicemail — but most of them will answer a text. Here is the entire rescue machine, included with the product.
Rings out, line busy, or the caller gave up before your voicemail — every variant is detected and rescued by text (8am–8pm), including the hang-ups most systems never even see.
"Sorry we missed you, we're on a job" reads very differently at 2pm than at 2am. Separate templates for open and closed hours, so the text always fits the moment.
Callers can still leave a message — and it arrives as text you can read in a meeting, attached to the call, alongside the rescue conversation.
Forward your existing line and keep the number your customers know, your trucks display, and your ads run. Your number stays yours — port it out whenever you want.
Between 8am and 8pm, the rescue text lands while they're still holding the phone they just called you on, with a short humanizing delay so it reads like a person, not a robot trigger. (A miss outside those hours gets no automated text — that's the law, not a setting.)
The text comes from your business number, registered with the carriers so it isn't blocked as spam. Move your existing number over and it's the exact number they dialed; if you forward your old line instead, it comes from your Crush It Engine number.
A known caller doesn't get a canned blast. The first message references their history — what they asked about, where things left off — the way a sharp employee would text.
Callers hear "you'll get a text from us in just a moment" before the line drops — so the rescue text is expected, not surprising.
Optional escape hatch before your phone even rings: callers who'd rather text press one and skip the hold entirely. Their choice, your line.
Replies get answered by AI that knows your business — questions answered, details collected, and when booking is connected it offers real times and books the job right in the thread. All in a shared inbox where you see every word.
Jump into any thread and the AI steps aside instantly. It's your conversation; the machine just holds the door.
A rescued caller who goes quiet gets a single gentle follow-up and one next-day check-in. Three messages maximum, ever — persistence without pestering.
Reply, call back, or opt out and every queued message dies on the spot. Nobody gets a follow-up to a conversation that already happened.
One script tag turns your own site into a second lead line: a visitor leaves their number and question, the AI texts them back, qualifies, and books — same inbox, same rules. With the Team Phone, the same button can also offer “Call me back”; with AI Voice it becomes “Ask us”, with your AI chatting up front and text still one tap away.
A customer who texts in Spanish gets answered in natural, friendly Spanish — automatically, mid-conversation, no setting to flip. The same goes for any language they use.
Every booked appointment can get a reminder text before the visit — you pick the timing (two hours to two days ahead) — so fewer no-shows without anyone remembering to send it.
If a texter asks for a real person, sounds upset, or says it's urgent, the AI alerts your phone immediately and steps back so your reply is the next one they see.
Customers can text you a picture of the leak, the breaker panel or the cracked tile, and it shows up right in the thread. You can send photos back too: a finished job, a part, a quote. Big phone photos are shrunk automatically so they actually arrive. Or record a quick video on your phone and text it as a link, and see when they watch it.
Your address, "we're on our way", how to pay: save the answers you type every day and drop them in with one tap, with the customer's first name filled in. Or write a text now and schedule it for the morning.
With AI Voice Pro or Scale, a missed caller can get a call back about two minutes later: "We just missed your call, how can I help?" Daytime only, once a day, never spam or trusted numbers, and if voicemail answers it leaves a short message with your number.
A text can't reach a landline, and now and then a phone company rejects one. If you already have that caller's email from a past lead or their customer record, the same message goes by email instead, once, from your business name, with an unsubscribe link.
Send the bill by text: a simple page with your name, the amount and what it's for, and a Pay now button that opens your own Square, Stripe, PayPal or job-software pay link. See when they open it, mark it paid, and your AI can text your pay link to anyone who asks how to pay. Card details never touch us.
Assign a conversation to one person or several, mark it unread so nobody forgets it, and filter to Unread or Assigned to me. When you're closed and a person is handling a thread, a customer who texts gets your after-hours reply once, so they know when to expect an answer.
Keep your landline or office number with your current phone company and still text on it: customers who text it land in your inbox, and your replies go out from it. Its calls stay exactly where they are.
Booked — Wed 10:30 AM
A reply cancels every queued follow-up — no double-texting.
The A2P registration carriers require is a guided form in your dashboard — filled in minutes, checked for the most common rejection reasons, and tracked to approval — not a compliance research project.
No automated texts before 8am or after 8pm in your business's local time. A late-night miss never triggers a late-night text, and queued follow-ups wait politely for morning. (If a customer texts you at night, the AI's reply goes right away — that's a conversation they started.)
Opt-outs are honored instantly, recorded in an audit trail, and enforced on every future message across the whole platform. Plain-English replies count too: "please stop texting me" or "no más mensajes" opts them out just like STOP, and anything unclear goes to you instead of getting an automated reply. START opts back in; nothing else does.
A built-in cooldown means a caller who rings three times gets one rescue, not three. Helpful once; spam twice.
Robocallers and repeat hammerers are recognized and excluded — your rescue texts go to humans who actually wanted you.
One button sends the rescue text to you, so you read exactly what your customers will — before a single customer does.
A caller with an appointment in the next two days who rings and misses is probably confirming, not shopping — so the sales-flavored rescue text stays holstered.
When a forwarded call rings your cell, you alone hear "call for your business line — press one to accept." No more guessing, and your personal voicemail can never swallow a business call again.
Your spouse missing you at dinnertime does not need an automated "sorry we missed your call!" — trusted numbers never trigger a text, period.
The full conversation history lives in your inbox — every thread, reviewable, and yours to export any day you like.
Running the Team Phone? A caller nobody on your team could answer gets the same rescue text — but never someone your AI receptionist already helped, and never someone who chose to leave a voicemail.
“Call for your business line — press 1 to accept.”
Only you hear it. Your personal voicemail can never eat a business call again.
Team messaging comes included when you add AI Voice or Cloud PBX: messages and photos, one-tap crew updates, alerts someone can claim, tasks, announcements and an @ai helper, for everyone on your team.
